POSITION DESCRIPTION:
This position will be assigned to the Purchasing Unit for Sunmount Fiscal Services. They will report to the Business Officer 1.
PRIMARY DUTIES AND RESPONSIBILITES:
Duties include but are not limited to:
· Receive purchase order requests through the Purchasing Mailbox, (email), review reasonable cost and appropriate vendors based on the procurement guidelines. Ensure all proper signatures are documented for purchases prior to seeking approval from Business Officer
· Once purchase requests are approved. Process orders via computer. Ensure all appropriate back up is kept with order and notify staff of order confirmation.
· Properly label account codes on credit card statement and input data into the State Finance System for the credit card reconciliation process
· Retrieve packing slips/confirmation of receipt of orders and keep all appropriate documentation together for annual audit
· Effectively communicate with staff and vendors via in person, phone, and email
· File statements and ensure organization of same for future audit requests
· Pull, copy & scan statements for audit requests
· Complete forms as needed
· Process Purchase Orders with assistance of Business Officer 1
· Assist with medical billing processes.
· Will complete mailroom duties (sorting & posting mail) for incoming and outgoing mail
· Gather information for various reports as needed
· Other duties assigned

NY HELPS This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS Program titles may be filled via a non-competitive appointment. This means that you do not need to take an exam to qualify, but you do need to meet the minimum qualifications of the title.
If you are hired under the HELPS Program, you will be first be appointed as a temporary employee. If you are performing successfully in the position, your appointment will be changed from temporary to permanent non-competitive. Once you are in permanent status, your official probationary period will begin and you may take any promotion exam for which you are qualified. At a future date (within one year of permanent appointment), employees hired under NY HELPS are expected to have their permanent non-competitive employment status converted to permanent competitive status. You will not have to take an exam to gain permanent competitive status.
