Type: Temporary, Part Time - 20 hours per week

Approximate duration of temporary assignment: three months

Overview

The Associate, Agency Reporting and Compliance is situated in the Agency Relations area of the Programs and Services Department of the Food Bank. The primary function is to collect and evaluate accurate reporting data from distribution partners. The data will be used to ensure compliance with our partners, the USDA, and Feeding America.

Specific Responsibilities

The Agency Reporting and Compliance Associate will support the Compliance Manager and our Agency Partners Network by maintaining and tracking agency and Direct Service Program (DSP) reports and conducting partner site monitoring. This position will ensure reports are submitted and archived.  It will evaluate reports for accuracy and communicate any needed revisions to sites across the partner network, including reports for donated-only agencies. This position will assist the Reporting Coordinator in providing technical support for agencies reporting through Oasis Insight system.  The Associate will also be responsible for assisting the Agency Compliance Manager in monitoring partners and will need to be cross trained in all food bank procedures relating to monitoring and agency responsibilities related to partnership.

  • Compile and check all monthly agency and DSP assistance and commodity reports for accuracy
  • Enter report information into Primarius as needed
  • Send out correction forms and speak with agencies about specific issues
  • Maintain report corrections spreadsheet, documenting mistakes and follow-up actions taken
  • Provide additional training to sites with repeat mistakes
  • Provide copies of forms and invoices to agencies upon request
  • Work closely with Agency Reporting Coordinator to ensure data is ready on time for allocations
  • Be trained in Agency Filing process and support preparations needed for regular audits
  • Monitor distribution partners for safe food handling and other compliance requirements
  • Excel in working in a collaborative team environment with people of diverse backgrounds and circumstances
  • Capable of creating training materials and delivering reporting presentations to the Agency Partner Network
  • Cross- train with the Agency Relations Coordinator to provide back-up as needed.

Qualifications

  • Associate’s degree or three years of equivalent work experience
  • Knowledge of Microsoft Suite, and database experience
  • Experience working in food insecurity or related non-profit environment
  • Outstanding customer service skills with at least three years of experience
  • Strong time management skills
  • Excellent oral and written communication skills
  • Must have valid driver’s license and at least 3 years of driving experience
  • Spanish language skills a plus.
